1. Introduction
Welcome to Lagran HRMS, a Human Resource Management System owned and operated by Lagran Software Solutions Pvt Ltd (“Lagran”, “Company”, “we”, “our”, or “us”).
These Terms & Conditions (“Terms”) govern the access and use of Lagran HRMS, including all modules, mobile applications, web applications, APIs, integrations, dashboards, communication tools, analytics, and related services.
By accessing or using Lagran HRMS, the customer, organization, administrator, employee, contractor, or end user (“User”, “Client”, or “you”) agrees to comply with these Terms.
If you do not agree with these Terms, you must discontinue use of the platform immediately.
2. Scope of Services

- API Services
- Reports & Analytics
- Mobile Applications
- Third-party Integrations
The Company reserves the right to add, remove, modify, suspend, or discontinue any feature at its sole discretion.
3. Eligibility
You must:
- Be legally authorized to represent an organization or business entity;
- Provide accurate registration information;
- Ensure that all users accessing the platform are authorized by your organization;
- Comply with all applicable laws and regulations.
The Company may suspend or terminate accounts that contain false, misleading, or unauthorized information.
4. Account Registration & Security
Users are responsible for:
- Maintaining confidentiality of login credentials;
- Restricting unauthorized access to accounts;
- Monitoring activities under their accounts;
- Updating passwords regularly;
- Immediately notifying the Company about any security breach.
Lagran shall not be responsible for losses resulting from unauthorized account access caused by weak passwords, credential sharing, phishing, or user negligence.
5. Subscription & Payment Terms
5.1 Subscription Plans
Lagran HRMS may be offered through:
- Monthly subscriptions
- Annual subscriptions
- Enterprise licensing
- Custom implementation pricing
- White-label licensing
- Add-on module pricing
5.2 Payment Obligations
Clients agree to:
- Pay invoices within agreed timelines;
- Bear applicable taxes and statutory charges;
- Ensure uninterrupted payment for active services.
5.3 Non-Payment
Failure to pay dues may result in:
- Suspension of access;
- Restriction of modules;
- Data access limitations;
- Termination of services.
The Company reserves the right to charge late payment penalties where applicable.
6. Acceptable Use Policy
Users shall not:
- Use the platform for unlawful purposes;
- Attempt unauthorized access;
- Upload malware or harmful code;
- Misuse employee data;
- Reverse engineer the software;
- Copy or resell the platform without authorization;
- Use the platform to violate labor laws or privacy laws;
- Conduct fraudulent attendance, payroll, or expense activities.
Violation may result in immediate suspension or legal action.
7. Employee Monitoring & Tracking
Lagran HRMS may provide:
- GPS tracking;
- Route tracking;
- Navigation monitoring;
- Field employee movement analytics;
- Attendance location validation;
- Sales visit tracking;
- Geofencing;
- Device activity monitoring.
By using these features, the Client confirms that:
- Employees have been informed about monitoring activities;
- Required employee consents have been obtained;
- Tracking activities comply with applicable employment and privacy laws.
The Company acts only as a technology service provider and is not responsible for misuse of tracking data by the Client.
8. Sales Navigation Tracking Module
The Sales Navigation Tracking module may collect and process:
- GPS coordinates;
- Travel routes;
- Visit duration;
- Customer meeting locations;
- Device location history;
- Route optimization data;
- Navigation timestamps;
- Geofenced attendance records.
This feature is intended for:
- Field sales monitoring;
- Route verification;
- Travel optimization;
- Sales productivity analysis;
- Attendance validation.
Clients are solely responsible for:
- Informing employees about tracking;
- Obtaining lawful consent where required;
- Using collected data ethically and legally.
Lagran does not guarantee uninterrupted GPS accuracy due to dependency on:
- Internet connectivity;
- Mobile device permissions;
- Third-party map services;
- GPS signal availability.
9. Third-Party Integrations
Lagran HRMS may integrate with third-party services such as:
- WhatsApp Business APIs
- Payment gateways
- SMS providers
- Cloud hosting providers
- Email providers
- Google services
- Biometric devices
- Accounting software
- ERP systems
- Government compliance portals
Use of such services may be subject to third-party terms and privacy policies.
Lagran is not responsible for:
- Third-party downtime;
- API limitations;
- Service interruptions;
- Policy changes by external providers.
10. Intellectual Property Rights
All rights related to:
- Software code;
- UI/UX designs;
- Branding;
- Documentation;
- APIs;
- Databases;
- Reports;
- Dashboards;
- Features;
- Source code;
- AI models;
- System architecture;
remain the exclusive intellectual property of Lagran Software Solutions Pvt Ltd.
Clients receive only a limited, non-transferable, revocable license to use the platform.
11. Data Ownership
Client business data uploaded into Lagran HRMS remains the property of the respective Client.
However, Lagran retains rights to:
- System architecture;
- Platform analytics;
- Aggregated anonymous data;
- Performance metrics;
- Non-identifiable usage statistics.
Clients are responsible for:
- Maintaining lawful rights to uploaded data;
- Accuracy of employee records;
- Obtaining consent for processing personal information.
12. Confidentiality
Both parties agree to protect confidential information including:
- Employee data;
- Payroll information;
- Financial records;
- Internal business reports;
- Access credentials;
- Proprietary software details.
Confidential information shall not be disclosed except:
- With written permission;
- For legal compliance;
- To authorized personnel or vendors.
13. Service Availability
While the Company strives for uninterrupted services, Lagran HRMS may occasionally experience:
- Scheduled maintenance;
- Emergency maintenance;
- Internet failures;
- Cloud infrastructure downtime;
- Cybersecurity incidents;
- Third-party outages.
The Company does not guarantee 100% uptime.
14. Backup & Disaster Recovery
Lagran may maintain periodic backups for operational continuity.
However:
- Clients should maintain independent backups where necessary;
- Recovery timelines may vary;
- Data restoration may not always be possible in catastrophic failures.
15. AI & Automation Features
Certain modules may use AI-powered automation for:
- Ticket routing;
- Employee query responses;
- Compliance reminders;
- HR workflow automation;
- Report generation;
- Attendance anomaly detection.
AI-generated outputs are provided for assistance purposes only and should not be treated as legal, financial, or HR advice.
16. Limitation of Liability
To the maximum extent permitted by law, Lagran shall not be liable for:
- Indirect losses;
- Loss of profits;
- Business interruption;
- Employee disputes;
- Payroll inaccuracies caused by incorrect inputs;
- Data loss from user negligence;
- Third-party failures;
- GPS inaccuracies;
- Regulatory penalties caused by client misuse.
Total liability shall not exceed the amount paid by the Client for the preceding three months of services.
17. Indemnification
Clients agree to indemnify and hold harmless Lagran Software Solutions Pvt Ltd from:
- Employee disputes;
- Labor law violations;
- Unauthorized data collection;
- Misuse of monitoring features;
- Illegal data processing;
- Third-party claims resulting from Client actions.
18. Suspension & Termination
Lagran reserves the right to suspend or terminate services for:
- Non-payment;
- Security threats;
- Violation of these Terms;
- Illegal activities;
- Misuse of employee tracking features.
Upon termination:
- Access may be revoked;
- Data retention timelines may apply;
- Additional restoration charges may apply.
19. Governing Law & Jurisdiction
These Terms shall be governed by the laws of India.
Any disputes shall be subject to the jurisdiction of courts located in Andhra Pradesh, India.
20. Amendments
Lagran reserves the right to update these Terms at any time.
Updated versions shall become effective upon publication on the official website or platform.
Continued use of the services constitutes acceptance of revised Terms.
